Job Description
We are looking for an enthusiastic, customer-driven Receptionist/Administrator to join our team, starting as soon as possible.
The ideal candidate will have excellent interpersonal skills, a strong ability to multitask and be confident dealing with customers of all ages, in person and over the phone. You will be the first point of contact both for students and teachers, handling enquiries and overseeing the general operations of the academy on a day-to-day basis. The ability to work under pressure in a professional and personable manner is essential.
We are looking for an exceptional candidate who will provide excellent customer service and the desire to go the extra mile for our students. You will be passionate about delivering a high quality service and have the ability to adapt to changing priorities with ease.
Specific hours are negotiable but will include some evening work and occasional Saturday mornings.
The role would suit someone who has an interest in and knowledge about music, however this is not essential for the right candidate. Work will be required at both PMA centres.
About the company
Portsmouth Music Academy (PMA) is a busy and fast growing private music school based in Portsmouth. With centres in Cosham and Southsea, PMA provides one-to-one and group music lessons as well as a wide range of additional music opportunities to students of all ages and abilities. The Academy also provides music teachers to Junior and Secondary Schools across Hampshire for peripatetic instrument lessons.
Main purpose of job
- Oversee the reception desk at our music centres
- Ensure that centres are running smoothly and that health and safety and child protection procedures are followed
- All relevant administration relating to services offered by the music academy
- Provide high standards of customer service through effective communication and regular contact with students, parents, teachers and other staff
Daily tasks will include:
- managing lesson schedules
- dealing with payments
- handling enquiries (phone, email and in person), responding in a timely and professional manner
- Preparing teaching rooms for lessons where necessary
The successful candidate will:
- Have strong communication skills, both oral and written
- Have good IT skills and experience using a range of systems/software
- Have excellent attention to detail
- Have an ability to work to tight deadline and to manage and prioritise a busy workload
- Have energy and enthusiasm, be confident, motivated and hard-working
- Have the ability to work effectively in a team as well as taking initiative when working alone
- Be able to build excellent working relationships with colleagues and customers
- Be committed and reliable, taking responsibility for your own performance
The successful candidate will have experience of:
- Working in a busy office environment
- Dealing with people of all ages (adults and children)
- Prioritising work tasks and managing own workload, working to challenging timelines
- Dealing with customer problems and confidently handling queries
Pay:
- £16,834 - £20,695 pro rata, depending on experience and qualifications
